Our Council camp properties are valuable resources intended to support high-quality outdoor experiences for youth and adult participants. To ensure safe, respectful, and sustainable use of these facilities, all units and groups must adhere to the following guidelines:

General Use Guidelines

  • All reservations must be made through the Council office or BlackPug.
  • Units must check in and out with the designated camp ranger or staff member.
  • Facilities must be left clean and in good condition. Damages may result in fees or loss of future reservation privileges.
  • Fires are permitted only in designated fire rings and must follow local fire safety regulations.
  • Alcohol, illegal substances, and firearms are strictly prohibited on camp property.
  • Pets are not permitted unless approved in advance for service purposes.

Supervision & Safety

  • All youth must be supervised by registered adult leaders at all times.
  • Groups must follow appropriate adult-to-youth ratios as outlined by Scouting America.
  • Emergency contact information and a first aid kit must be readily available.

Reservation & Cancellation

  • Reservations are confirmed upon receipt of payment and approval.
  • See our Cancellation Policy for details on refunds and fees.

Cleanup & Departure

  • Units are responsible for cleaning all areas used, including restrooms, kitchens, and campsites.
  • Trash must be removed or placed in designated receptacles.
  • A final inspection may be conducted before departure.
  • If a unit notices any ameneties that are in disrepair or otherwise in need of attention, they are to notify the ranger, camp master, or staff member on duty as soon as possible.

Violation of Policy

  • Failure to follow these guidelines may result in:
    • Additional fees
    • Loss of future reservation privileges
    • Serious offenses may result in removal from the organization.

We understand that unexpected circumstances may arise, and units may need to cancel their camp property reservations. However, last-minute cancellations significantly impact our Council’s ability to serve other units and maintain the property effectively.

To ensure fairness and sustainability, the following cancellation policy applies:

  • More than 60 days before reservation date: Full refund (0% cancellation fee)
  • 30–59 days before reservation date: 50% refund (50% cancellation fee)
  • 7–29 days before reservation date: No refund (100% cancellation fee)

Additional notes:

  • Cancellations must be submitted in writing to the Council office (leatherstocking@scouting.org) or completed through the BlackPug account used to make the reservation.
  • Exceptions may be considered for emergencies or weather-related closures at the discretion of the Council.
  • Units are encouraged to notify the Council as early as possible to allow others the opportunity to reserve the property.
